Manager Dashboard: more to choose – more to share
The reach of your Portal has expanded; making it even easier for you to connect with your people. In the Manager Dashboard, you can now select multiple options per filter and send users a record of their completed training. Two powerful updates, one smart dashboard.
At Learnforce, we’ve been looking at ways to give you more control over how you connect with your team. With that in mind, we’ve made some handy changes to your Portal.
Our focus was to make it easier for you to:
- Find the information you need, and
- Contact your learners about their training.
To achieve these goals, we’ve enhanced the emailing and filter functionality in the Manager Dashboard so that you can:
- Select multiple options in key filters – making it easier to find data and pinpoint training management requirements.
- Send users a record of their completed training – providing you with a new way to confirm and recognise course completions.
- Greet and complete the message – including a standard salutation and sign off is now an option when sending an email through the dashboard.
- Email faster – saving time as the dashboard automatically sends your bulk message as a single BCC.
From updated filters to enhanced email functionality, here’s more information about what’s new…
Filter smarter with multi-select
To help you refine your results more effectively, we’ve added multi-select functionality to several key filters in the Manager Dashboard. This update gives you greater flexibility when filtering training records.
As of this release, you can select more than one option within most filters, allowing for a more comprehensive view of your data — and helping you better target your next action.
The following filters contain the new multi-select feature:
- Category
- Learning Activity
- Account
- Classification
Previously, you could only choose one option per filter. Now, you're free to multi-select! Using multiple options per filter provides you with another way to drill down the data so that you can focus and refine your results.
The only non-multi select filter is the Group filter, which is only available to Site Administrators. To maintain quality control, this filter remains single-select. However, subgroups are included if the admin selects a parent group. The admin can also drill down the group levels and, in doing so, select a group that has no subgroups.
Send Records
We’ve also expanded the Portal’s emailing capability so that you can send users a list of their completed training directly from the Manager Dashboard. The email you create with the new Send Records feature is based on the filter options and tabs you selected in the dashboard. It includes a space to add a personalised message and an option to add a standard greeting and sign off.
The new Send Records email option is visible when the Completed tab is selected, and you can use it to:
- Email learners a record of their completed training.
Use the new Send Records button – which appears when the Completed tab is selected – to send the user a list of the courses they have completed.
- Combine reminder and completion emails.
You can now send a single email that includes both reminder information and completed training records. Previously, the Send Reminder feature was only available when you selected one or more of the Overdue, Not Started, or In Progress tabs. If you also selected the Completed tab, the email option was disabled.
With this update, you can now select any combination of tabs – including the Completed tab – and send one email that reflects all selected training statuses.
Send Records versus Send Reminder
The email button in the Manager Dashboard lets you send two different types of information to your learners, which is why the name of the button can change depending on your tab selection. Here are the names of the email button, an explanation of when those labels appear, and a description of what those buttons do:
Send Records
The Send Records email provides the learner with a list of their completed courses and may also remind them to complete any outstanding training.
For example:
Subject:
Your training is Completed and/or In ProgressMessage:
Dear Example User,Our records show that the following training is Completed and/or In Progress:
- Course One (Completed)
- Course Two (In Progress)
This Send Records button appears underneath the learning progress table at the bottom of the dashboard when:
- Only the Completed tab is selected, or
- The Completed tab is selected with one or more of these tabs: Overdue, Not Started, and/or In Progress.
The email’s subject line does not include the word ‘Reminder’ when you send completed records.
Send Reminder
The email provides the learner with a list of their non-completed courses and reminds them to complete their required training. This option appears underneath the learning progress table at the bottom of the dashboard when:
- The Completed tab is not selected, and
- One or more of these tabs is selected: Overdue, Not Started, or In Progress.
For example:

Dear Example User,Our records show that the following training is Overdue and/or Due Soon:
- Course One (Overdue)
- Course Two (Due Soon)
Include a standard salutation and sign off
Use the new Include salutation and sign off checkbox to wrap your message with a personal greeting and sign off.
When the Include salutation and sign off checkbox is:
- ON (default): The standard greeting is added to the top of your message and the standard sign off is placed at the bottom of your message.
The standard greeting is – Dear Firstname Lastname
The standard sign off is – Regards, Firstname Lastname
- OFF: The system removes the standard greeting and sign off from your message.
Bulk email efficiency
Emails are now sent as a single bulk message using BCC, rather than one at a time. This applies to both reminder and completion record emails. The Audit Log keeps a record of these transactions.
Making communication easier
These updates simplify the way you communicate with users about their training progress, and they give you greater control over that process. Get ready, because when this release lands it’ll be go-time. Time to connect. Time to explore these new features. And time saved when you say goodbye to outdated email processes.
The Email Report tool is now retired. The features it provided have been upgraded and replaced by these tools:
