Enhancement

In the not-too-distant future, your CBS domain will reign supreme.

Your abilities have been upgraded. You now possess a magical cloak that wields power over your Classroom Booking System domain. With it you can easily transform your trusted servants into admins and trainers by giving them one of two mighty system roles. Oh, the power, the almighty power BWAH-HA-HA-HA-HA!!!!

PLEASE NOTE: The release dates for this change are as follows: Australia - 7 June 2023, UK - 6 June 2023

Remember the dark days when you had to go to an old platform to set up and maintain your Classroom Booking System (CBS) admins and trainers? Those medieval days are long gone. You’ve rocketed to the future and are now living in a thriving metropolis. AKA we’ve moved those permissions to a place where that can be easily maintained, which means you don’t have to do that silly, old process anymore!

We are thrilled to announce the launch of our new Site Roles: Classroom Booking Administrator and Classroom Booking Trainer. These roles replace the old processes for assigning CBS rights to a trainer or administrator. The new way – which is to assign a CBS role via the Learning Management System (LMS) – reduces the old, clunky manual process. It allows you to easily grant approval to the accounts that need them so that they can then perform specific CBS actions without difficulty.

NOTE: We’ve also completely revamped the CBS platform. Please see our Look at me! product update for more information.

Your Site Administrators can see the new roles in:

  • Configuration > Site Settings > Access & Security > Roles & Permissions > System Roles

Your Site and Learning Management Administrators can add a role to an account via the:

  • Learning Management System > find the account via the Search field > go to the Roles tab > under the Site Roles section, click the + Add a Site Role button > select the required site role:
    • Classroom Booking Administrator or
    • Classroom Booking Trainer

The Old Ways

The Session Trainer and Course Trainer roles have been removed; meaning that the old way of updating these roles via Learnforce 8 no longer applies.

The New Ways

  • When a Classroom Booking Trainer has been assigned to a course or session, the system behaves the same way as if they had been assigned the old Course Trainer or Course Session role, in that they can:
    • access the CBS via the Portal by going to the Admin menu and selecting Classroom Booking System.
    • view and update courses and sessions that they are assigned to.
    • add and edit sessions (if they are assigned as the trainer at the course level).
  • Trainers can manage accounts in the Session Enrolment tab as follows:
    • see all enrolled and pending students – the tab lists all accounts regardless of whether they have permission to view them in the Learning Management System (LMS).
    • add students to a session – the tab only lists accounts the trainer has access to in the LMS.
  • Trainers can be added to Face-to-Face and Online training types.
  • The CBS notification settings determine if a trainer is sent a notification and/or email when they have been assigned as a trainer.

These new permissions will save time and reduce the burden on those who are responsible for reviewing and approving enrolment requests and maintaining the CBS.
