Transfer report ownership and hand over the keys of responsibility.
Ensure responsibility is delivered to the right person with our new Reporting platform options: Change Report Owner and Change Schedule Owner. Use these features to transfer report scheduling and ownership to a different user. Put the right leaders in place and provide your team with smooth report management.
Report and Schedule Owners can now be updated in the Reporting system without the need to duplicate or recreate reports. These changes improve report management and provide a cleaner, more efficient Reporting system.
When it comes to transferring ownership, our improvements cover the owner of the saved report and its schedule owner. These features are especially useful when roles within your business change, or when the owner is no longer an employee.
We’ve also introduced a Disabled tag. Its purpose is to highlight reports that need an ownership change because the owner’s account is inactive.
Who can change the owner?
The owner of a saved report can be changed by:
- the current report owner,
- a Site administrator, or
- a Reporting administrator.
The schedule owner can be changed by:
- the person listed as the schedule owner,
- a Site administrator, or
- a Reporting administrator.
Where can the owner be changed?
The report owner can be changed via these tabs:
- My Reports
- All Reports
- Shared Reports

I have the tab open, now what?
Use the Change Report Owner and Change Schedule Owner features to transfer the report’s ownership to a different user. These options are available from the report’s Context menu when:
- one of the above-mentioned tabs is open, and
- you have the required permission level.
Where do I find the Context menu and how do I use it to change the report’s owner?
There is a table within each of the tabs mentioned above. Each row of the table represents a report. Against each row is a Context menu (three little dots). Use the following new options within this menu to transfer ownership of that report to a different user:
- Change Report Owner:
- This opens the Change Report Owner pop-up.
- Use the New Report Owner field within the pop-up to select a new report owner.
- Save your changes to transfer report ownership to the new user.
- Change Schedule Owner:
- This option only appears when the report already has a schedule owner.
* The Schedule option is an existing feature that is available from the Context menu. You can use it to add a schedule for the report; this step includes adding a schedule owner. - Selecting this option opens the Change Schedule Owner pop-up.
- Use the New Schedule Owner field within the pop-up to select a new schedule owner for the report.
- Save your change to transfer schedule report ownership to the new user.
- This option only appears when the report already has a schedule owner.
How are disabled accounts flagged in the Reporting system?
We’ve introduced a Disabled tag to help highlight which reports need an ownership change.
The tag appears in the reporting table when a report owner or schedule owner no longer has access to that report because their account has been disabled in the Learning Management System.
A user with a disabled account cannot log in to your Learnforce Portal, which also means that they do not have access to your Reporting platform.
