Stage 1: External Training Revamp
We’re building better External Training foundations – from new options in Configuration, to email triggers, to a cleaner tab in the LMS, to symmetry with the Portal, to reporting connectivity, and to sending new data straight to the Audit Log. With these changes, we’re dressing our site-wide External Training improvements to impress.
We’re introducing a suite of External Training enhancements that:
- Make training records easier to manage.
- Provide a more flexible system for admins.
- Deliver a more powerful feature for everybody.
Key Highlights
Here is a summary of the improvements we’ve created in this release:
- More admin control – Configuration
Admins can empower their users by switching on External Training settings. There are new Configuration options that let users add External Training records, courses, providers, and attachments.
- Smarter reminders – Configuration
Admins can enable email notification settings that notify learners before, on, or after an External Training expiry date.
- Aligned views – Learning Management (LMS) and Portal.
Consistent External Training layouts across both platforms allow for a more seamless experience.
- Clean and logical interface – Reports
External Training-related reports are hidden from the Standard Reports tab when External Training is disabled for your site.
- Strong visibility – Audit Logs
Audit logs are created when the new External Training features are used to make changes or send an email reminder.
- If your site has existing External Training data, you can still generate reports that contain this data – even if the feature itself is disabled.
- An audit log is created even if the email cannot be sent, such as when there is no email address for the account or the account is disabled.
Changes in Detail
Here’s a closer look at the External Training changes across Configuration, the LMS, and your Portal:
Configuration – new controls
Introducing a new Configuration page called External Training.
You can find the new External Training page within the Learning Management folder (under Products). Admins can use it to decide how External Training is utilised across their site. It contains new options that enable users add their own External Training records, courses, providers, or attachments. It even has one that lets users remove their own records.
Email reminder settings are also available on this new External Training page. These flexible reminder options let you set an automation that notifies users when an External Training record is:
- About to expire.
- Expires today.
- Already lapsed.
By default, the External Training feature is enabled, and all other External Training settings are disabled.
Learning Management – consistency and alignment
We’ve renamed the ETR tab in the LMS; it’s now called External Training.
New fields have been added – they expand the amount of data that can be recorded within an External Training record that is created in the LMS. Previously, these fields were only available via the Portal. The new fields are:
- Contact Name.
- Fax.
- Website.
Furthermore, to create consistency between the LMS and your Portal, the following display changes have been made in the LMS to the External Training tab:
- The Refresher Date field is now called Refresher or Expiry Date.
- The Name field is now called Course Name.
- The Qualification field is now called Qualification Name.
- The Code field is now called Qualification Code.
- The Expiry column is now called Refresher or Expiry Date.
In addition, you can now sort table records by any column, in ascending or descending order, simply by clicking the column header.
We’ve also updated the following in the LMS:
- The External Training option in the LMS Menu drop-down only displays when External Training is enabled in Configuration.
- The Providers page – accessible via the LMS Menu drop-down – contains an External Training tab that only displays when External Training is enabled in Configuration.
Your Portal – label change and navigation
To create consistency between your Portal and the LMS, the following External Training changes have been made:
- The Expiry column is now called Refresher or Expiry Date.
- The External Training page is only available if External Training is enabled in Configuration.
We’ve also enhanced the External Training functionality within the Portal. Users can now perform each of the following External Training tasks if that option is enabled in Configuration:
- Add their own Training Records.
- Add Training Providers.
- Add Training Courses.
- Attach/upload files.
- Remove Training Records.
External Training – streamlined
These External Training changes were made for clarity and alignment purposes. Together, these updates strengthen the External Training feature across Configuration, the LMS, and your Portal — giving everyone a smoother, smarter, and more connected experience.
