The Activity Builder has just gotten better! You can now deliver your documents to your learners at the most opportune time - when they are taking your course!

Our new Document Upload feature can be used by Site and Activity Builder administrators. They can add a Document component to a new or existing Activity Builder course. In that component, they can:

  • Upload a document, select a document that is saved within your Resource Management product, or insert a web link.
  • Include an Acknowledgment section and customise its text.  
  • Download, rename, and remove the document.
  • Edit the format of the component.
  • Use the Options tab to control how that component is seen by the learner.
  • Use the Preview function to see how the component would look to the learner, download the document, and tick the acknowledge box. 

Additional functionality

You can add one document to a Document component. So, if you have multiple documents, you need to add multiple Document components – one for each document that your course requires.

You can only upload a document or select a document that is saved within your Resource Management product if:

  • the Resources Management product is enabled via Configuration, and
  • you have permission to access the Resources Management product.

Once you’ve uploaded your document to the Document component, you can rename it by clicking in the document’s name field.

The maximum file size is 500 MB.

Additional learner features

From a learner’s point of view, they will be able to open, read, and print the file that your administrator uploaded to the course. If required, the learner will only be able to continue with the course if they have ticked the document’s Acknowledgement box or downloaded (read) the document and ticked the Acknowledgement box.

Records

When a document is uploaded to a folder via the Activity Builder, then a Resource Tools Log record is added to the Audit Logs. This also occurs when a file is added directly via the Resource Management tool (this is existing functionality).

Workflow summary

Here is a basic workflow that covers the main steps you would use when adding a document to a course:

  1. Log in as a Site or Activity Builder administrator.
  2. Open the Activity Builder.
  3. Open a course.
  4. Click the + (add) button in the left-hand corner.
  5. Select the Document option.
  6. Click the Upload link that appears within the Document component.
  7. Choose which tab you want to upload the document from.
  8. Upload your document.
  9. Rename your document.
  10. Use the Options and Events tabs to customise your Document component.
  11. Save your changes.
  12. Publish your document.
