CBS Preferences unite with the LMS

We are gathered here today to celebrate the joining of two Learnforce Preference families. The LMS welcomes the CBS to its Preferences tab, allowing admins to access an account's CBS Preferences directly from the LMS, with the exact same settings used across both platforms. Bringing you something old, something new, something borrowed, and nothing to make you feel blue.

LMS and CBS Preferences are together at last! Like a well-planned honeymoon, LMS is the destination, CBS is the origin, and Preferences is what connects the two.

Expanded Preference Management in the LMS

Central settings management reduces administrative overhead by consolidating account preferences into a single, familiar, and accessible location. To facilitate this requirement, we’ve added CBS Preferences to the LMS Preferences tab, giving admins greater control over individual account settings. When an admin makes a CBS Preference change in one system, it is immediately reflected in the other, ensuring consistency across both platforms. This expansion provides admins with access to a broader range of account-level settings, allowing them to configure individual accounts to meet specific organizational or user requirements.
 

What's New on the LMS Preferences Tab

We’ve added a new section to the LMS Account Preferences tab called Classroom Booking Preferences. This new section lives underneath the tab’s Learning Activities Preferences section. Admins can use this tab to manage an account’s individual user preferences.

NOTE

The LMS Account Preferences tab is accessible to Site, LMS, and Cloud administrators, Direct Managers, and users with the LMS Manage permission. An admin can only access the accounts they have been given permission to manage..

 

To create this enhancement, we’ve replicated and linked the current CBS student settings, which are as follows:


Dietary and/or Learning Requirements

A text field allowing the LMS admin to add, remove, or update information that lets the CBS trainer know if the student has any session requirements.
 

Administrator notifications

Depending on the settings that are enabled, when a CBS administrator or trainer performs a certain action in the CBS, the account holder can receive:

  1. an email
  2. a message in the Classroom Training platform
  3. both above types of communication
  4. no notifications

Each new setting in this section has two YES/NO toggles – one for message and the other for email. The new settings are as follows:

  • When the account is enrolled into a training session
  • When the account is enrolled into a training session with a status of 'pending'
  • When the account is unenrolled into a training session
  • When the account is removed from 'pending' queue for a session
  • When session details have changed
  • When a session trainer has changed
  • When a session is cancelled
  • When a session is active
  • When a course is removed
  • When student status of session changed
  • Disable all notifications
     

Personal notifications

The account holder can receive an email when they perform certain actions in the Classroom Training platform. Whether they receive an email about the change or no notification is dependent on the relevant setting being enabled (set to YES) or disabled (set to NO). Each new setting has a YES/NO toggle; these settings are:

  • When the account is enrolled into a training session
  • When the account is enrolled into a training session with a status of 'pending'
  • When the account is unenrolled into a training session
  • When the account is removed from 'pending' queue for a session
  • Disable all emails
     

Coming Soon to the Portal

To further link user preferences, in an upcoming release we will be adding CBS options to the Learnforce Portal. When we roll out these changes, the account user will be able to manage their CBS Preference settings via the Portal’s Edit Account Details page. Currently, this page contains the user’s Learning Activity Preferences only.
 

Finer Points

Please be aware of the following in relation to the new ‘Classroom Booking Preferences’ section of the LMS Preferences tab:

  • Clicking the ‘Disable all emails’ or ‘Disable all notifications’ option disables that column.
  • The Classroom Booking Preferences section is hidden on sites that do not have CBS enabled.
  • Administrator email notifications and Personal email notifications toggles are hidden when your site has CBS message notifications enabled but CBS Emails are disabled. A note is displayed instead that informs you that these features are disabled.
  • If your site has CBS Message notifications disabled, but has CBS Email notifications enabled, then only the toggles in the Email column are enabled under Administrator notifications, and all toggles in Personal notifications are enabled.
  • If your site has CBS Message notifications enabled, but has CBS Emails disabled, then only the toggles in the Message column are enabled (all toggles in Personal notifications are disabled).
  • The following Student interface fields were not added to the LMS or Portal as they are no longer required and have been removed from the CBS:
    • Confirm your email
      This is now linked with the LMS. The system uses the email address listed against the account in the LMS.
    • Country / Region
      Time zones help determine session start and end times for a student. This field is no longer required when determining the student’s time zone. Please note that admins can still update an account’s location details in the LMS via the account’s Edit tab.
  • The following Admin interface fields have been removed from the CBS:
    • Time zone
      This selector is no longer used to determine a site-wide time zone.
    • Country / Region
      This selector no longer reflects site-wide settings.
