With a click of a button, your account users can now download their own identification cards via your Portal. Adding the personal touch, this sleek new card contains the account user’s name, photo, account ID, and company. Completing the look is the inclusion of your business’s branding and logo, making an all-round professional tool that can be used to identify your people.

We're thrilled to unveil the new identification card – an exciting additional feature that is easily accessible from your Portal. This nifty little card is here to add a dash of personalisation and a whole lot of convenience to your account users and administrators alike. 

The Importance of Identification Cards

An identification card is more than just a piece of paper because the information it displays can help to protect your people, safeguard company equipment, and aid in building relationships with employees, businesses, and customers. It serves as a quick reference and can be essential to ensuring the security of your workplace.

This new feature is a win-win for administrators and account holders, as it simplifies user management, enhances branding, reduces administrative tasks, and provides account holders with personalised cards that promote both security and recognition.

Distinguishing Details

Your account users can now download a card in PDF format that shows their identification details. It is the size of a professional business card size (8.5 cm x 5.4 cm) and is unique to the account user. This snazzy new card contains the following valuable information:

  1. Business Branding: It proudly flaunts your Portal’s branding by using your colours and logo. Be warned – wearing this badge may provoke a sense of belonging and pride in your organisation!
  2. Card Title: You are the label maker. And, as such, you don’t have to call it an identification card if you don’t want to. Pretend it’s a brand-new puppy, one that you get to name. You can call it whatever you like. ID Card, Visitor Badge, Identity Card, or even Geoff if you really want to. Although Frank might be a better choice because, frankly my dear, this card tells it like it is.
  3. Account Photo: Who’s that fabulous person with a cheeky grin? Oh, look! That exact smile is captured right on their identification card. I wish I were that photogenic. What a great way to aid in quick recognition and personalisation.
  4. Full Name: No more second-guessing who you're chatting with. The person’s first and last names are right there for everyone to see, making interactions more personal. Remember, communication is key and knowing each other’s names helps you to be connected.
  5. Account ID: A unique identifier that sets each account user on your Portal apart from the rest. You might have a doppelganger, be an identical twin, just have one of those generic faces, or even have a long-lost strikingly similar-looking sibling, but your Account ID is as unique as you truly are. NOTE: If the account has an External User ID, then that ID is displayed instead of the Account ID.
  6. Company Name: Your Learning Management System (LMS) lets you add a business name against the user’s account. This is the company or division that they work for or belong to. When this information is included in their account, it proudly appears on their identification card.

  • Access: With the right permissions, your administrator can download the identification card on behalf of the account user via the Learning Management System (LMS). It’s as simple as going to the Edit tab of that user's account and clicking on the new Generate Identification Card button.

* Site Administrators, Learning Management Administrators, the user's Direct Manager, and Group administrators (on that group) have access to the Generate Identification Card button.

Furthermore, the self-service option in the Portal means that administrators can delegate the card creation process to users, reducing the administrative burden and ensuring a more efficient user experience.

  • Recognition and Community: An account user can easily recognise and connect with their peers and instructors through the photos and names – as displayed on their ID, fostering a sense of community, and making interactions more personal.
  • Access and Independence: This self-service option removes red tape as it allows you to generate your own identification card. The ability to access your own information is a time saver that reduces frustration and creates independence.

The following information explains the basics your administrators need to know to get started on this identity journey.

Enabling the Identification Card Feature

Please follow these steps to switch the Identification Card feature on for your Portal:  

  1. Log in to your Portal as a Site Administrator.
  2. Go to the Admin menu at the top, right-hand side of the page, and select Configuration.
  3. When Configuration opens, go to the left panel, and expand the Products section.
  4. Select the Portal folder.
  5. Click General from the list of options.
  6. Scroll to the User Account Card section and set the Enable User Account Card toggle to YES.
  7. Enter a name for the card – for example Identification Card, Visitor ID, Volunteer, or Staff Badge.
  8. Go to the bottom of the page and click the Save button.

    Congratulations! You’ve enabled the Identification Card feature on your Portal.

How to Download Your Learnforce Identification Card

Obtaining your Learnforce identification card is as easy as a walk in the park with your new puppy. Here's what you need to do:

  1. Log in to your Learnforce Portal.
  2. Go to the top of the page and select Dashboard.
  3. When the Dashboard page opens, go to the top of the page, just under your name, and click the Generate Identification Card button.

    Voilà! Your identification card has been downloaded to your device in a convenient PDF format, perfectly sized at 8.5cm x 5.4cm.

You can now display it whenever you need – whether it's on your desk, in your wallet, on your phone, or pinned to your virtual learning space.

Generate an Identification Card for an Account User

Please follow these steps to download an Identification Card feature for your account user: 

  1. Log in to your Portal as a Site Administrator, Learning Management Administrator, the user's Direct Manager, or Group Administrators (on that group).
  2. Go to the Admin menu at the top, right-hand side of the page, and select Learning Management.
  3. Find and open the required account.
  4. Click the Generate Identification Card button, which is at the top of the page just under their name.

    This downloads an identification card for the account user.
